Online payment processing available for UOIT initiated events

Communications and Marketing, in partnership with the Finance department, has developed a method for allowing online credit card payments for university initiated events. This is now the preferred and recommended method for collecting payments for events planned by UOIT employees and held at the university.

If you require a UOIT branded template webpage to promote your event and link to the online payment option, please indicate that in the designated area on the submission form.

The following are things to consider, and steps required to establish an online payment process.

Things to consider:

  • To allow for the timely and accurate establishment of your online payment process the request form must be submitted, at minimum, three weeks before the form is scheduled to go live
  • A 1.62 per cent credit card processing fee is charged for every transaction by the service provider. The Finance department will collect this fee and deduct it from the total amount collected
  • Please indicate whether taxes (normally HST) will be charged or included in the event price. If taxes are charged, they will be deducted from the total amount deposited in your account by Finance.

Steps to complete the payment form online:

  • Fill out the form / survey / payment form section of the project initiation form 
  • You will need your fund, account and organization numbers for the collected funds. Please contact your planning and budget officer or your Finance department representative if you need to confirm the fund, account and organization number to use
  • Once you have submitted your event, a member of the web team will contact you to confirm your event details and will provide an estimated timeline to complete the process.

What to expect once the money starts flowing: 

  • Following each transaction, 3 automated emails are sent:
    • A notification email from the service provider is sent to the contact name provided on the project initiation form
    • A transaction receipt email from the service provider is sent to the user's billing email address 
    • An official receipt and confirmation email from UOIT is sent to the user's billing email address and/or event registration email (if applicable). This email includes all event/registration details submitted by the user.
  • You will be provided with a link and password to download a full and current list of all transaction and event/registrant details.
  • You can also request a weekly copy of all transactions from Jeanie Cao in Finance. This transaction list will only indicate the financial details of the transaction (from the credit card service provider).
